For the first six years of PHOS Creative, every client we worked with was in Gainesville, Florida. It’s where we are physically located, and it’s where we knew we could serve our community well. We still partner with some of those same local businesses today!
Then COVID hit, and everything moved virtually.
We had to figure out this thing called Zoom (which we’re still figuring out). We reported from our living rooms, shared dining tables, and the occasional makeshift desk on the floor.
What started as a disruption turned into a real question:
If we could collaborate effectively with clients we couldn’t meet in person, what was actually stopping us from working with organizations anywhere?
We started asking a harder version of that question. What makes our partnerships work so well? We realized that it was much more than meeting in the same conference room.
That realization changed the shape of PHOS. Today, 60% of our clients are non-local, with over a third being fully out of state.
What We’ve Learned in the Last Six Years
The skepticism is understandable. A local agency knows the market, the culture, and the competitors very well. You’re deeply connected to the community when you’re working with businesses around the corner.
That instinct makes sense on the surface. But it doesn’t hold up when you look at what actually drives results.
A pest control company in Massachusetts came to PHOS with a cost-per-lead problem. In our first year of partnership, the average cost per lead dropped by 93%, and conversion rates climbed 55%. Yet, we’ve still never visited their office.
Another pest control company in North Carolina saw organic traffic grow 30% in year one with PHOS, again without any in-person presence from our team.
These outcomes weren’t luck. They came from a proven process built specifically to operate at a distance without losing depth or context.
Our Formula: Process & People
Good marketing work is repeatable when the foundation is right. Before a single strategy gets built, we go deep on intake, pulling out market context, buyer behavior, competitive dynamics, and brand voice. This is formed through discussion designed to surface the things that don’t show up in a Google search.
The great news? We can glean this from a phone call and a virtual meeting.
Research follows the same logic: search patterns, regional demographics, and how buyers in a specific geography make decisions. From there, our strategy gets presented back to the client before execution begins. Every client reviews the plan and weighs in before anything goes live. Collaboration is key, whether it’s online or across the table.
Process allows work to get across the finish line. People make it worth doing. Every PHOS client has real humans (hey 👋) on the other side of their partnership, not a ticket queue or an account number. And we promise to never put you in an AI phone call loop when you need help.
The default cadence for most of our partnerships is at a minimum a monthly call, but it’s adjustable based on what you actually need. Some want more. Some are heads-down and need less.
The cadence adapts, but the consistency doesn’t. Between calls, clients hear from us. Weekly email progress updates. Monthly performance reports. Phone calls to check in on how you’re doing and probably talk about how much less humid your city is than Gainesville.
A client working with PHOS should feel like we’re just across the street, not across the country. The goal is to show up so consistently that distance stops being a thought that crosses anyone’s mind.
That’s the standard we hold ourselves to, whether a client is in Gainesville or all the way in Alaska. Communication isn’t an afterthought of the PHOS process. It’s the whole point of how the process works.
What You’ll Miss
There is one thing a non-local agency genuinely cannot provide: physical presence.
We won’t be on your job site. We won’t sit in your conference room on a Tuesday afternoon or attend a local event with you. And you’ll also have to travel down to Gainesville if you want to experience our Snack Vault in person.
What we’ve built in place of proximity is structure. For creative media, we work with local photographers and videographers in a client’s market who can capture what we brief and direct. Clients across the country have produced strong creative work through this model. The answer to distance isn’t pretending it isn’t there. Rather, it’s building communication and collaboration systems strong enough that it stops mattering.
Finding Success Remotely
After years of partnerships across markets and time zones, the pattern is clear. Location does not determine whether a marketing engagement succeeds. Client engagement is the deciding factor.
The clients who get the best results, local or not, are the ones who show up, respond, and trust the process.
PHOS builds the strategy and executes the work. We research the market, refine the messaging, and observe what moves. But the partnership has to go both ways.
